Summary

The Baxter EMEA IT function (Commercial and Manufacturing) maintains several regional projects and administrative tasks (like rebelling process, meeting management, travel requests and expenses submission). The position of IT Executive Assistant/Coordinator will serve as project and administrative support for both projects and regional IT support.

Essential duties and responsibilities

  • Creation of Purchase Orders for EMEA Commercial and Manufacturing team and follow up on the invoicing and recharge process.

  • Office Management: Liaise with the various contacts in order to ensure a proper working environment for the team. Ensure various office catering, supplies are available for the IT team members.

  • Organization of IT meetings (internal & external), managing logistic, organization of conference calls, consolidating the agenda, communicating to the attendees, standardizing presentations, consolidating data, etc...

  • Update SharePoint (minutes of meetings, presentations, vacation calendar etc.),

  • Coordination/management of travel & expenses for the management team with respect to internal policies, incl. flights, hotels and transportation arrangements.

  • Link with Hard and Software suppliers.

  • Coordination with IT support team on all technologies equipment.

  • Manage different mail distribution lists for the EMEA Commercial and Manufacturing IT team, calendars management.

  • Creation of new suppliers and Supplier issues management.

  • General admin support, maintenance of team reporting, data and actions (monthly, quarterly update).

  • Participation in Team meetings, support in communications or presentations.

  • Manage & follow-up standard HR activities for the full team.

  • Consolidate regular reports/Organization chart/communications.

Skills and qualifications

  • University degree with 2-3 years of administrative experience.

  • Familiarity with an International Business environment.

  • Ability to multitask, prioritize workflow and manage time effectively.

  • Must have good organization and follow-up skills – detail-oriented.

  • Must have excellent communication skills in order to effectively communicate with all levels of management, both internal and external.

  • Autonomy, able to work with minimum of guidance, proactive behavior, discretion, confidentiality and flexibility.

  • Motivated to learn new IT tools & processes.

  • Open to travel up to 10%.

  • Fluent English speaker, Italian is nice to have.
