Events Assistant


 

WHAT YOU'LL DO


The Events Assistant’s primary responsibility is to partner with the Events Team and Office Experience team to drive the affiliation and events agenda for the Pier 4 office, from staff-wide offsite events to smaller cohort gatherings, including but not limited to: annual holiday party, summer retreat, annual all-staff conference, offsite meetings, holiday dinners, cohort events, in-house celebrations events, and social impact events and projects. In conjunction with the team and office leadership, implement initiatives to promote greater sense of community.

YOU'RE GOOD AT


  • Coordinating office events: sourcing venues, initiating contracts, coordinating communications to leadership, drafting invitations and managing RSVPs, onsite event support
  • Suggest and solicit creative and new ideas, from events to engagement programs, to keep our affiliation program fresh and motivating
  • Establish relationships with vendors, select event sites, and execute required logistics
  • Post internal social media content to drive office engagement
  • Support Events Team in local marketing initiatives
  • Coordinate event communication - prepare guest lists and invitations, send confirmations, track RSVPs
  • Assist with budget estimates and options to ensure events remain within budget guidelines
  • Act as onsite facilitator for events
  • Work closely with Concierge team on room reservations, security lists, catering orders
  • Coordinate with IT team on A/V needs; provide basic A/V set ups for onsite events
  • Provide office experience support and recommendations for events as needed, e.g. transit, hotel, catering, restaurant options
  • Make and set up name tags, meeting materials, etc.
  • Provide light general admin support for meeting/event attendees as necessary
  • Other duties as assigned by the Events Manager


YOU BRING (EXPERIENCE & QUALIFICATIONS)


  • College degree strongly preferred
  • 0-3 years of events experience or working with individuals in a professional services environment
  • Working knowledge and comfort with MS Office, specifically Outlook, Excel and Powerpoint - willingness to learn new systems is relevant to the needs of the operation
  • Experience with Slack, Trello and Canva helpful
  • High energy and enthusiasm, willing to get involved
  • Strong organization skills, ability to manage many small details simultaneously
  • Responsive and able to handle challenges with poise and tact
  • Excellent written, oral communication and interpersonal skills
  • Flexible team player; solid customer service orientation and qualities
  • Ability to work effectively in a challenging, fast paced environment
  • Ability to take initiative
  • Strong attention to detail
  • Must be able to perform successfully in a fast-paced, intellectually intense, service-oriented environment and interpret rules and guidelines flexibly to enhance business and in keeping with BCG’s values and culture

YOU'LL WORK WITH


Our business management and operations team members work to ensure that BCG is running smoothly, efficiently, and productively. We are made up of executive and administrative (or case team) assistants, visual service artists, receptionists, facilities staff, and the team leaders and office coordinators who manage these operations and business management jobs.

ADDITIONAL INFORMATION


COMPENSATION INFORMATION:

Total compensation for this role includes base salary, annual discretionary performance bonus, contributions to BCG’s Profit Sharing and Retirement Fund (PSRF), and a market leading benefits package described below.

We expect total annualized compensation for New York City-based employees to be approximately the following:
  • Base salary between $57,000- $69,000 (USD); placement within this range will vary based on experience and skill level
  • Annual discretionary performance bonus between 0-12%
  • 5% Profit Sharing Retirement Fund (PSRF) contribution, increasing to 10% after two years of service. Contributions are vested immediately and there is no waiting period
  • First year annualized target total compensation: $63,441 - $76,797 (USD)
