This an exciting opportunity to support the Director of Technology/CIO and the ICT Section Management team in maximizing their impact at organisational level, improve the overall communication and foster engagement with stakeholders across the global organisation.

What we are looking for

The Norwegian Refugee Council (NRC) is seeking a highly qualified Executive Assistant for the head office ICT Section with relevant experience supporting executives and/or executive teams in large organisations as Personal or Executive Assistant.

What you will do

Some of your specific responsibilities include:

  • Understand NRC’s organizational strategy, the Digital Transformation roadmap and the ICT Section strategic plans and initiatives to better align the CIO’s and ICT Management Team competing priorities and opportunities
  • Facilitate and drive the ICT Section knowledge sharing plans, including the SharePoint site and related initiatives, ensuring consistency in the layouts and tone used in messaging
  • Assist the Director of Technology/CIO and the ICT Section Management Team with internal and external communication in collaboration with the Communications team
  • Support the filing of key documents, maintaining these up to date and alerting those responsible of upcoming deadlines (reporting, renewals, engagements, etc)
  • Support in the gathering of information and, at times, drafting of presentations for both internal and external events and sharing
  • Prepare agenda and minutes from ICT Section Management and other ICT-related decision meetings, including gathering and circulating reading materials prior to these
  • Coordinate the development and reporting on ICT’s strategy in close collaboration with the units’ managers
  • Facilitate and administer meetings, meeting schedules, etc of the ICT Section team, Extended ICT Management team, Digital Governance Task Force, other key ICT-related bodies and any other meeting arenas as requested by the Director of Technology/CIO
  • Facilitate and maintain a good dialogue with external stakeholders (partners, donors, suppliers, peer organisations, etc)
  • Follow up, coordinate and ensure progress of decisions in meetings and relevant processes according to deadlines
  • Schedule and coordinate different elements for the onboarding and offboarding of ICT section staff as they join and/or leave NRC
  • Support in the organisation, logistics and administration of key events, including ICT Section meet-ups, ICT global seminars as well as external ones (e.g. hosting of NetHope European Chapter meetings).

What you will bring

  • University degree or equivalent qualification
  • 3 years' experience supporting executives and/or executive teams in large organisations as Personal Assistant or Executive Assistant
  • Documented experience and results related to the position’s responsibilities
  • Proven experience in using different digital tools for planning, collaboration, and communication – experience with Microsoft O365 is advantageous
  • Fluency in English, both written and verbal – other languages like French, Spanish or Arabic are a plus
  • Excellent interpersonal and communication skills with the ability to collaborate vertically and horizontally within an organization.
  • Excellent administrative skills, including development of efficient systems.
  • Proven ability to work independently; proactively identify and solve problems
  • Analytical skills and an eye for strategic thinking, while having a commitment to quality and attention to detail
  • A “can do” attitude and ability to adapt to quickly changing situations and needs
  • Excellent writing, editing and communication skills.
What we offer
  • Duty station: ideally at the either the NRC offices in Oslo, Norway or Berlin, Germany – but open to other NRC office locations for outstanding candidates.
  • Contract: national contract, Permanent contract.
  • Salary/benefits: grade 7 on NRC’s salary scale, with accompanying terms and conditions.
