To support the fast growth of our studio and media department, we are seeking a talented individual to join our diverse and creative team. Work in a creative architectural atmosphere with cutting-edge facilities, consisting of a games area stocked with drinks, a fitness studio, a bean bag and a meditation room. Barista made coffee at the café down the road and Tuesday night feeds with UberEATS and frequent team-bonding activities outside of the office.

The Opportunity:

We are actively seeking a full-time Administrator/Studio Assistant to support our rapidly growing company on-site in Vermont. You will support daily operations while reporting to the Administration Manager and Marketing Manager. Providing administrative support where required within the business – not limited to handling office ad-hoc duties such as running errands, organising files, drafting letters, scheduling meetings, and tracking important deadlines. The ideal candidate will have excellent organisational skills, attention to detail and the ability to manage multiple tasks simultaneously. They should also be proficient in Microsoft Suite and other basic software that assist in creative workflows. A customer service orientation is also essential, as the role often involves interacting with clients and suppliers.

About You:

We are looking for someone that is more than an Administrator & Studio Assistant. We're looking for a team player with excellent interpersonal and problem-solving skills, who takes initiative and adheres to deadlines. Ideally a candidate with previous experience in a support role, a strategic thinker who performs well under pressure, and well-organised in workflows and procedures.

Key Responsibilities Include (but not limited to):

  • Assist the Management with administrative duties, processes and day-to-day activities.
  • Document and manage inventory control, e.g. stock office supplies when required.
  • Take initiative, manage and resolve task roadblocks, reporting to relevant stakeholders.
  • Organise and manage multiple tasks efficiently with a high level of independence and judgement to reach or surpass the project's key performance indicators.
  • Prioritise and execute tasks assigned adhering to deadlines.
  • Assist with procurement and logistics, including follow-ups, replacements, warranty exchanges etc…
  • Respond quickly to ad hoc requests from managers and attend meetings as required.
  • Arrange travel plans for managers and employees, including flights, car rentals, and hotel accommodations when necessary.
  • Run errands such as picking up samples, swatches, and artwork on behalf of Managers or other business departments as requested.
  • Be punctual and reliable, have a positive 'can-do' attitude and work ethic
  • Be flexible and adaptable, work independently and be a team player part of a team
  • Use tools and software as pre-configured: MS Office, MS Project, Wrike, Simpro, Slack, Google Drive, Dropbox, Adobe Creative Suite, Figma

Requirements:

  • Dependable, driven, and trustworthy
  • Proven work experience as an Administration Assistant or similar role, preferably with a media / creative focus
  • Excellent verbal and written communication skills
  • Proficient in technology and computer programs (Microsoft Office, Google Suite, Wrike)
  • Ability to follow instructions clearly and accurately in a timely manner.
  • Exceptional organisational and time-management skills
  • Ability to be flexible in a fast-paced environment.
  • Demonstrated the ability to work independently, handle multiple complex tasks simultaneously, set and meet deadlines.
  • Impeccable attention to detail, judgement, and integrity
  • Current valid Australian driver's licence and vehicle
  • Must be prepared to supply a recent National Police Check
  • Available to work onsite in Vermont:
  • Monday: 9am – 5pm
  • Tuesday: 12pm – 8pm
  • Wednesday - Friday: 9am - 5pm
